About this opportunity
Executive Assistant to CEO | (Hybrid Flexible) High-Growth Tech Startup | NYC
A growing, privately backed tech start-up is looking to hire an experienced Executive Assistant to provide high-level support to its CEO and senior leadership team. This is an excellent opportunity to join an entrepreneurial business experiencing continued growth and seeking a highly capable, proactive EA who can serve as a trusted right hand to its leadership team.
The Executive Assistant will play an integral role in helping the CEO manage an increasingly demanding schedule, streamline day-to-day activities, and stay focused on the highest-priority initiatives driving the business forward.
This is an ideal opportunity for someone who thrives in a fast-paced, entrepreneurial environment, enjoys working independently, and brings a thoughtful, solutions-oriented approach to executive support. Beyond traditional calendar and travel management, the position offers exposure to executive operations, external stakeholder coordination, and special projects.
Work Arrangement: The organization offers some flexibility around hybrid work arrangements, with the specific schedule to be determined based on the needs of the business and the individual hired. There may be opportunities for additional remote flexibility depending on executive schedules and business needs. Candidates seeking a fully remote position will not be considered.
Responsibilities:
- Provide high-level executive and administrative support to the CEO, with additional support to senior leadership as needed.
- Take ownership of complex calendar management, scheduling, and inbox organization, proactively prioritizing meetings and commitments.
- Coordinate travel arrangements, developing thoughtful itineraries that maximize efficiency and make the best use of executives' time.
- Serve as a trusted partner to the CEO, anticipating needs, managing competing priorities, and helping maintain focus on critical business initiatives.
- Support external stakeholder relationship management by coordinating meetings, tracking communications, and maintaining organized follow-up schedules with key business contacts.
- Assist with leadership meetings, strategic planning sessions, internal events, and other company initiatives as needed.
- Coordinate executive-level meetings, business engagements, and relationship-building activities with a high degree of professionalism and attention to detail.
- Develop and improve administrative processes, systems, and workflows to support an increasingly busy leadership team.
- Take ownership of ad hoc projects and operational initiatives, exercising independent judgment and identifying opportunities to improve efficiency.
Qualifications:
- Prior experience supporting a CEO, Founder, or senior executive, ideally within a growing, entrepreneurial organization or lean, fast-paced business environment.
- Strong calendar management, inbox organization, travel coordination, and executive support capabilities.
- Exceptional organizational skills, attention to detail, and ability to manage multiple competing priorities.
- Highly proactive and resourceful, with the ability to anticipate needs, solve problems independently, and exercise sound judgment.
- Strong emotional intelligence, communication skills, and the confidence to manage up and provide thoughtful recommendations to senior leadership.
- Comfortable operating in an evolving environment where processes may still be taking shape.
- A hands-on, flexible, and collaborative approach, with a willingness to take on responsibilities beyond traditional executive support.
- Ability to build trusted relationships, maintain discretion, and interact professionally with executives and external stakeholders.
- Tech-savvy and comfortable leveraging technology and organizational tools to streamline workflows.
- Based in the NYC metropolitan area and able to commute regularly to the company's New York City office.
