Key Responsibilities

1. Accounts Payable & Receivable

• Process and track invoices, payments, and financial documentation.

• Monitor outstanding balances, overdue invoices, and payment deadlines.

• Contact clients regarding purchase orders, late payments, billing discrepancies, and missing information.

• Record payments received and maintain accurate accounting software records.

• Review invoices against contract terms, authorized rates, and available budgets.

• Resolve discrepancies and ensure billing requirements are completed accurately and promptly.

2. Contract Management & Compliance

• Research, review, and analyze contracts, agreements, purchase orders, and related documentation.

• Review contract terms and conditions, billing provisions, insurance requirements, and payment schedules.

• Track contract budgets, available balances, renewal dates, and expiration deadlines.

• Prepare and coordinate contract amendment requests, extensions, and budget adjustments.

• Follow up with clients regarding pending agreements, approvals, signatures, and documentation.

• Coordinate contract execution by authorized company representatives.

• Identify missing information, compliance concerns, and upcoming deadlines.

• Maintain organized, current contract records and tracking systems.

3. Microsoft Excel & Data Management

Advanced proficiency in Microsoft Excel is essential.

• Create, maintain, and update detailed spreadsheets and tracking systems.

• Develop and troubleshoot formulas, calculations, and financial summaries.

• Format, sort, filter, and organize complex data.

• Create charts, reports, and visual summaries.

• Maintain spreadsheets tracking contracts, payment terms, budgets, insurance requirements, and policy expiration dates.

• Document changes and ensure information remains accurate and current.

• Identify opportunities to improve reporting systems and administrative processes.

4. Administrative & Team Support

• Provide administrative support across departments as needed.

• Cross-train to assist with essential responsibilities during team member absences.

• Conduct research, prepare documentation, and support general business operations.

• Communicate proactively regarding assignments, deadlines, and outstanding matters.

• Maintain confidentiality and professionalism.

• Contribute to a positive, respectful, and collaborative team environment.

Work Arrangement & Scheduling

This is a full-time, primarily remote position, with occasional required in-person office days, meetings, training, or other business-related activities.

The schedule is flexible and may vary depending on business operations, client deadlines, and team needs.

This is not a traditional 8:00 AM–5:00 PM position.

Candidates must be able to:

• Independently organize and manage their work schedule.

• Remain responsive and available for scheduled meetings, client communications, and time-sensitive assignments.

• Adjust working hours when reasonably necessary to meet business needs.

• Consistently meet deadlines without close supervision.

• Attend required in-person workdays and meetings.

• Maintain productivity, accountability, and clear communication while working remotely.

We value flexibility, but flexibility must be accompanied by dependability, strong communication, and consistent results.

Required Qualifications

• Experience in accounting support, accounts payable, accounts receivable, contract administration, or related administrative work.

• Strong Microsoft Excel skills, including formulas, formatting, charts, and data analysis.

• Excellent organizational skills and attention to detail.

• Ability to work effectively in a collaborative team environment.

Preferred Qualifications

• Experience with government contracts, public agencies, or school districts.

• Familiarity with contract amendments, insurance certificates, purchase orders, and vendor compliance.

• Experience with accounting software and financial reporting.

• Experience creating Excel dashboards or advanced tracking systems.

• Background in small-business administration or professional services.

• Bilingual English/Spanish skills are a plus.

Our Nonnegotiable Values

Honesty. Responsibility. Respect. Self-Motivation.

We believe technical skills are important, but character, accountability, and initiative are equally essential.

We are looking for someone who:

• Is honest: Demonstrates integrity and transparency in all responsibilities.

• Is responsible: Takes ownership of assignments and follows through.

• Is respectful: Treats clients, colleagues, and business partners professionally.

• Is self-driven: Identifies priorities and takes appropriate initiative without waiting to be reminded.

• Is resourceful: Researches solutions and exercises good judgment.

• Is adaptable: Willingly supports other team members and adjusts to changing priorities.

• Is collaborative: Contributes positively to a supportive, respectful, and team-oriented workplace.

Who Will Succeed in This Position?
