Studebaker Brackett PLLC (SB) is Seeking an Operations Manager

SB remains focused on enhancing, automating and streamlining the processes involved in substantive patent work and administrative/back office operations. This effort includes evaluating existing platforms offered by outside software vendors, and researching and selecting vendors to build custom products, including generative AI tools, for efficiency and high quality. Our initial focus is, for example, automating email intake, USPTO form preparation, and official action handling, with human review at appropriate steps.

We are seeking a motivated and detail-oriented patent firm operations manager to join our growing team. Reporting to our managing partner and working closely with our office administrator and AI Value Committee, you will play a crucial role in shaping the AI-powered tools and processes used by our administrative staff and practitioners. While automation is the initial focus, this is a broader operations role, and less of a technical one, working with practitioners and staff across the firm.

Duties Include:

•            Mapping and measuring current administrative workflows to identify automation opportunities and track results.

•            Evaluating the ever-changing vendor products and custom tools in the marketplace in comparison to SB’s present approaches including discussions with software/AI vendors.

•            Documenting the pros and cons of each vendor product/tool including recommendations for testing and final selection.

•            Working closely with third party vendors and SB practitioners/staff during testing, validation, and implementation including providing troubleshooting, feedback and ideas for enhanced customization.

•            Designing review checkpoints and quality controls so automated work meets SB’s accuracy standards, particularly for deadlines and filings.

•            Providing ongoing documentation and support to SB users for the successful adoption and continued effective use of AI/software products, including gathering feedback to identify improvements and future priorities and acting as a liaison to the third-party vendors servicing the tools.

Qualifications (Required):

•            Minimum of five (5) years of experience in the patent field working either as a staff member in at least two areas of patent administrative operations such as docketing, formalities, new application filings, IDS preparation, and official action handling, or as a patent attorney/agent (including those in procedural or IP analytics roles) with detailed knowledge of patent administrative operations.

•            Practical familiarity with software automation and AI tools (no programming required; our vendors handle the technical development).

•            Based in the United States and authorized to work in the US.

Qualification (Preferred):

•            Experience implementing or administering docketing or IP management systems, or leading process improvement projects.
