About this opportunity

Communications Operator

Embedded on Client's Capital Delivery Portfolio Team

Location: Indianapolis, IN

Works daily with: Portfolio Communications Director

Position Overview:

Seeking a Communications Operator to join a communications and creative partner across Client's capital delivery portfolio. This position is employed by the partner organization and embedded on the client team, working in partnership with the Portfolio Communications Director to turn established plans into finished work, on time and in the right format.

The Director owns the client relationship, develops the first version of new solutions, and leads moments that require relationship judgment and presence. The Communications Operator owns recurring execution from beginning to end, supported by a shared tracking system and a defined working cadence.

What You’ll Do as a Communications Operator:

You’ll manage recurring communications, track incoming requests, draft within established voice and formatting standards, and close the loop on deliverables. This role requires ownership beyond producing a draft: work is finished when it is sent, confirmed, and documented for the next cycle.

Communications Operator Duties Include:

• Run the recurring cadence for executive briefings, leadership digests, newsletters, and standing forums. Maintain the calendar, work backward from deadlines, build in review time, and flag conflicts early.

• Own high-visibility recurring moments from pre-work and materials through distribution, follow-up, and after-action review.

• Manage requests received through email, chat, and informal conversations. Give every request a home, status, and owner in a single tracking system such as Asana.

• Draft in leadership’s voice using established voice and formatting guides, then refine the work in partnership with leadership.

• Filter, triage, and route requests so leadership sees what needs its attention. Bring sensitive decisions forward for guidance.

• Support the broader team and convert lessons learned into checklists and documented steps so recurring work does not depend on one person’s memory.

• Confirm communications reached their audience, capture feedback, and use that feedback to improve the next cycle.

What We’re Looking For:

• 3–5 years in communications, executive support, content production, or a comparable role with ownership of recurring deliverables from beginning to end.

• Experience managing recurring communications for senior leaders, with the ability to describe the volume, cadence, and tracking system used.

• A record of carrying work from rough input through completion and distribution, then following up without being prompted.

• Clear writing in another person’s voice, comfort incorporating edits, and the ability to work within established standards.

• Strong calendar management and the ability to anticipate competing deadlines several weeks ahead.

• The ability to build and document systems another person could use to run the next cycle.

• Sound judgment about what to handle, route, or escalate, including seeking guidance before making sensitive decisions.

Role Expectations:

• This seat owns recurring execution; the Director owns external client and stakeholder relationships.

• The role makes established communications and processes run reliably rather than creating the first version of new strategies or solutions.

• Sensitive or politically complex decisions are brought forward for guidance.

• Completion includes distribution, confirmation, follow-up, and capturing improvements for the next cycle.

What Success Looks Like:

• Recurring communications go out on time, in the right format, with nothing falling through.

• Every request has a home, status, and owner; leadership receives only what requires its attention.

• Leadership trusts your execution, reduces double-checking, and gives you work earlier.

• Each cycle builds on documented processes rather than starting from scratch.

• Work is routed to you because you reliably carry it through completion.

How You’ll Be Supported:

• Defined, living processes for recurring deliverables.

• A daily 20-minute stand-up and a weekly 80-minute working session with the Portfolio Communications Director.

• Clear expectations for what finished work looks like before you begin.

• Guidance when a decision is sensitive or unclear, along with honest, early feedback.
