We perform work for some of the largest construction projects, including data centers, semiconductor facilities, commercial developments, and industrial facilities.
We are seeking an experienced, highly organized, and assertive Accounts Receivable & Collections Manager to take ownership of our customer billing, accounts receivable, payment collections, and related financial administration.
Position Overview
The Accounts Receivable & Collections Manager is responsible for ensuring that every completed project is properly invoiced, every invoice is tracked, and every outstanding balance is actively pursued until payment is received.
This position requires someone who is comfortable communicating directly with project managers, accounting departments, accounts payable representatives, controllers, and executives at large construction companies.
The successful candidate will be persistent, detail-oriented, professional, and capable of resolving outstanding receivables without unnecessarily damaging valuable customer relationships.
This is not a passive bookkeeping position. We need someone who takes initiative, identifies payment problems, follows through, and produces measurable collection results.
Primary Responsibilities
1. Accounts Receivable Management
Manage the company’s entire accounts receivable portfolio using Zoho Online.
Review outstanding invoices daily and maintain accurate customer balances.
Prepare, monitor, and update accounts receivable aging reports.
Identify overdue invoices and initiate collection efforts before balances become seriously delinquent.
Follow up consistently on outstanding balances at 15, 30, 45, 60, and 90+ days.
Investigate short payments, unapplied payments, retainage, deductions, and customer disputes.
Maintain detailed documentation of all collection communications, payment commitments, and outstanding issues.
Reconcile customer payments, deposits, credits, and account balances.
2. Construction Billing and Invoicing
Generate and distribute accurate customer invoices promptly after completion of field services.
Verify field tickets, technician hours, daily reports, equipment charges, travel time, materials, and approved change orders.
Review contracts, purchase orders, and customer billing requirements before submitting invoices.
Prepare time-and-materials (T&M), lump-sum, progress, and project-based invoices.
Process customer billing through Zoho Online and applicable contractor payment portals.
Manage AIA billing forms and schedule-of-values requirements when applicable.
Track retainage and ensure timely collection once contract conditions have been satisfied.
Coordinate with operations and field management to resolve missing paperwork or billing discrepancies.
Track and submit lien waivers, conditional releases, and other customer-required payment documents when appropriate.
3. Collections and Payment Follow-Up
Contact accounts payable departments regarding outstanding invoices.
Obtain and document expected payment dates and follow up until payments are received.
Identify reasons invoices are being delayed, rejected, or withheld.
Resolve missing purchase orders, unsigned field tickets, disputed quantities, billing errors, and incomplete documentation.
Professionally escalate overdue balances to project managers, controllers, and company leadership when necessary.
Negotiate payment schedules within management-approved guidelines.
Maintain customer relationships while ensuring payment obligations are taken seriously.
Identify accounts requiring management or legal review, including potential preliminary notice, lien, or collection deadlines, and coordinate with authorized professionals.
Never authorize discounts, write-offs, settlements, or payment concessions without management approval.
4. Financial Reporting and Accountability
Provide management with a weekly accounts receivable aging report.
Maintain a current list of overdue accounts, balances, collection activity, and promised payment dates.
Prepare monthly cash collection forecasts.
Identify customers with recurring payment problems.
Monitor days sales outstanding (DSO) and collection performance.
Recommend improvements to invoicing, payment terms, and collections procedures.
Coordinate with company leadership and outside accounting professionals for month-end reconciliation and reporting.
5. Process Improvement and Automation
Identify opportunities to streamline accounts receivable and billing procedures.
Improve integration between field service documentation, invoicing, and customer payments.
Develop standardized collection emails, follow-up schedules, and escalation procedures.
Utilize Zoho Online reporting, Excel, and automation tools to reduce administrative errors.
Help implement AI-assisted billing and collections workflows while maintaining human review of customer communications and financial decisions.
Required Qualifications
Minimum 3 years of accounts receivable, billing, or commercial collections experience.
Strong working knowledge of Zoho Online.
Experience preparing, processing, and reconciling customer invoices.
Proficiency in Microsoft Excel and financial reporting.
Excellent written and verbal communication skills.
Comfortable making collection calls and addressing payment disputes.
Ability to work independently and prioritize multiple accounts and deadlines.
Strong organizational skills, attention to detail, and follow-through.
Professional, confident, and persistent approach to resolving outstanding balances.
Preferred Qualifications
Experience working for a commercial or industrial construction company, subcontractor, or specialty trade contractor.
Familiarity with construction purchase orders, subcontract agreements, change orders, progress billing, and retainage.
Experience using contractor billing platforms such as Textura, GCPay, or Procore.
Familiarity with AIA payment applications and lien waiver documentation.
Experience dealing with accounts payable departments of large general contractors.
Knowledge of Arizona construction billing procedures and payment requirements.
Previous experience managing a substantial accounts receivable portfolio.
What We Are Looking For
Proactive: Does not wait until invoices become 90 days past due to take action.
Persistent: Follows through until payment is received or the issue is escalated.
Detail-oriented: Understands that missing paperwork can delay payment.
Accountable: Takes responsibility for collection outcomes, not just collection attempts.
Assertive but professional: Can communicate firmly while preserving customer relationships.
Technologically capable: Understands Zoho, Excel, billing portals, and modern automation tools.
Sense of urgency: Recognizes that strong cash flow is essential to construction operations.
Performance Expectations
Success in this position will be evaluated based on:
Timely and accurate invoicing of completed work.
Reduction of overdue accounts receivable balances.
Improvement in collection times and cash flow.
Reduction in invoice errors and customer billing rejections.
Consistent follow-up and documented collection activity.
Accurate weekly reporting and cash collection forecasts.
Successful resolution of payment disputes and outstanding retainage.
The Accounts Receivable & Collections Manager will work closely with company ownership, office administration, project management, and field operations.
